1. Information We Collect

When you use Make Safety Easy, we collect information you provide directly: your name, email address, company name, phone number and any data you enter into the platform (incidents, inspections, safety talks and worker records).

We also automatically collect usage data including IP addresses, browser type, pages visited and feature usage patterns to improve our service.

2. How We Use Your Information

We use your information to: provide and maintain the platform, send notifications and alerts you've configured, generate reports and analytics, respond to support requests, send product updates and relevant communications and improve our services.

3. Data Storage & Security

3.1 Your data is stored on secure servers with enterprise-grade infrastructure. We use industry-standard encryption (TLS 1.2+) for data in transit and AES-256 for data at rest. Access to customer data is restricted to authorized personnel only.

3.2 Each tenant's data is stored in a separate database, ensuring complete isolation between organizations.

3.3 Breach Notification. In the event of a data breach that affects your personal information, we will notify the account owner within 72 hours of becoming aware of the breach, in accordance with PIPEDA and applicable provincial breach notification requirements. Notification will include: the nature of the breach, the categories of data affected, the approximate number of individuals affected, the likely consequences and the measures taken to address the breach.

4. Data Retention

We retain your data for as long as your account is active. Upon account cancellation, we retain data for 90 days to allow for reactivation, after which it is permanently deleted. Regulatory compliance records may be retained longer as required by applicable law.

5. Data Protection Compliance

5.1 Make Safety Easy complies with applicable data protection regulations including GDPR (EU), PIPEDA (Canada) and CCPA (California). We obtain consent before collecting personal information, limit collection to what is necessary and provide access to your data upon request.

5.2 Under PIPEDA (Personal Information Protection and Electronic Documents Act), you have the right to: (a) know what personal information we hold about you; (b) challenge the accuracy of that information; (c) withdraw consent for collection, use or disclosure of your information, subject to legal or contractual restrictions; and (d) file a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated.

5.3 We appoint a Privacy Officer responsible for our organization's compliance with PIPEDA. Privacy inquiries may be directed to admin@makesafetyeasy.com.

6. Cookies

6.1 We use essential cookies for authentication and session management. We do not use third-party tracking cookies or sell your data to advertisers.

6.2 We use Google Analytics to understand how visitors interact with our marketing website. Google Analytics uses cookies to collect anonymized usage data. You may opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Google Analytics is not used within the authenticated application dashboard.
